Group booking terms
Terms for group flights, hotels and packages arranged by the mynxtrip team. They apply in addition to our Terms of use.
Last updated: 4 November 2026
Summary: for group bookings we act as your agent. We book with airlines and hotels on your behalf, pass their charges to you at cost, and charge a service fee plus GST. Group fares and rates are usually non-refundable and non-cancellable. The exact rules for your booking are printed on your booking confirmation and e-ticket. Nothing is booked until you confirm and pay as per the schedule.
1. Scope
1.1 These Group Booking Terms ("Group Terms") apply when [REGISTERED BUSINESS NAME, e.g. Mynxtrip Travel Private Limited / sole proprietor name] ("mynxtrip", "we") arranges a group booking for you (the "Customer") following a group enquiry, quote or agreement with our team. A "Group Booking" is any booking we confirm with a booking reference beginning with the booking prefix shown on your documents.
1.2 These Group Terms apply in addition to our Terms of use. If they conflict, these Group Terms prevail for Group Bookings. For ordinary flight and hotel searches on our website, where you book directly with a provider, these Group Terms do not apply.
1.3 The person making the Group Booking confirms that they are at least 18, authorised to act for every traveller in the group, and responsible for making sure all travellers know and accept these Group Terms and the booking rules.
2. Our role: agent for you
2.1 For Group Bookings, mynxtrip acts as your agent. We obtain fares, seats, rooms and other services from airlines, hotels, consolidators, group desks and other suppliers ("Suppliers") on your behalf. The contract for carriage or accommodation is between the travellers and the Supplier, under the Supplier's conditions of carriage, fare rules and hotel policies.
2.2 Supplier charges (airfare, taxes, hotel charges and similar costs) are collected from you and paid to Suppliers at actual cost, as a pure agent under the GST law. Our earnings are the service fee shown separately on your booking confirmation and tax invoice.
2.3 mynxtrip does not operate any flight or hotel and is not the carrier or accommodation provider.
3. Quotes and confirmation
3.1 Quotes are based on availability and Supplier prices at the time and may change until the booking is confirmed. A quote is not a reservation.
3.2 A Group Booking is confirmed when we send you a booking confirmation and payment request showing your booking reference, price, payment schedule and booking rules, and you make the first payment due. By paying, you accept the price, the payment schedule, the booking rules and these Group Terms.
3.3 Seats and rooms are held only until the due dates in your payment schedule. If any payment is not received in full by its due date, we or the Supplier may release the seats or rooms. Amounts already paid may be forfeited where the Supplier does not refund them.
4. Booking rules
4.1 Each Group Booking is subject to a booking rule (for example "Group air – non-refundable, non-cancellable"), which sets out refunds, cancellation, changes, name-list deadlines, baggage and payment terms. The rule is printed on your booking confirmation and e-ticket, and is fixed for your booking from confirmation.
4.2 Where a booking rule is stricter than these Group Terms, the booking rule applies. Supplier conditions may impose further restrictions, which we will pass on to you.
5. Prices, payment and GST
5.1 Prices are in Indian rupees (INR) unless stated otherwise, and include the components shown on your booking confirmation: Supplier charges at cost, our service fee, and GST on our service fee at the applicable rate.
5.2 Payment is by bank transfer (NEFT, IMPS or RTGS) or UPI to the account shown on your payment request, quoting your booking reference. Please send us the UTR or UPI reference. We confirm each payment with a receipt. We do not accept payment to any personal account, and our staff will never ask you to pay to a different account by phone or message. If in doubt, call us before paying.
5.3 We issue a GST tax invoice for each Group Booking. To claim input tax credit, give us your correct GSTIN, legal name and billing address before the invoice is issued. Invoices can be corrected only by issuing a credit note and a new invoice, in line with GST rules.
5.4 Bank charges, currency conversion and transfer fees are your responsibility. The amount received in our account must equal the amount due.
5.5 Tickets and final confirmations are normally issued only after full payment is received.
6. Passenger names and travel documents
6.1 You must provide the full names of all travellers exactly as they appear on their government photo ID or passport, by the name-list deadline in your booking rule. Late or incorrect names may result in loss of seats or extra charges.
6.2 Unless your booking rule allows it, names cannot be changed after tickets are issued. Any name correction allowed by a Supplier is subject to its charges.
6.3 Each traveller is responsible for carrying valid ID, passports, visas and any health documents, and for meeting check-in and boarding times. We are not responsible for denied boarding or entry caused by documents, late arrival or conduct.
7. Tickets, PNRs and confirmations
7.1 Once tickets are issued, we send you an e-ticket and itinerary showing the PNR or booking references, ticket numbers (where provided by the airline), flight and hotel details and the booking rules. Check all details immediately and tell us of any error within 24 hours.
7.2 Airline tickets are issued by the airline or its authorised agent. Our e-ticket and itinerary is a confirmation of your booking. It doesn't replace the airline's own records or boarding pass.
8. Cancellations, changes and refunds
8.1 Group fares and group hotel rates are generally non-refundable and non-cancellable once confirmed, as stated in your booking rule. No refund is payable for cancellation, no-show, unused services, early departure or a reduction in the number of travellers, unless your booking rule says otherwise.
8.2 Date, time, route and name changes are not permitted unless your booking rule allows them. Any change agreed by a Supplier is subject to its charges, fare difference and our service fee.
8.3 Where a Supplier refunds any amount, for example statutory airport taxes, we pass it on to you after deducting any Supplier charges. Refunds are made to the account the payment came from, normally within 15 working days of us receiving the money from the Supplier.
8.4 Our service fee and the GST on it are non-refundable once the booking is confirmed, except where the booking cannot go ahead because of our own error.
8.5 Requests to cancel or change must be made in writing to us by the person who made the booking.
9. Payment disputes and reversals
9.1 By confirming a non-refundable Group Booking, you agree that the amounts paid are committed to Suppliers on your behalf. You agree not to initiate a chargeback, UPI dispute, payment reversal or stop-payment for a confirmed Group Booking that was provided or held as agreed. If you have a concern, contact our Grievance Officer first. We will respond within 48 hours.
9.2 If a payment is reversed, disputed or fails after confirmation, the amount becomes immediately due. We may cancel unused services, and you are liable for Supplier charges and our reasonable costs of recovery, to the extent permitted by law.
9.3 We keep records of confirmations, payments, documents sent and your acceptance of the booking rules. We may provide them to your bank, payment provider or authorities in response to a dispute.
10. Supplier changes and failures
10.1 Airlines and hotels may change schedules, aircraft, terminals, room allocations or services. We pass on any changes we're told about as soon as practicable. Compensation or refunds for Supplier changes, delays, cancellations or overbooking are the Supplier's responsibility under its conditions and applicable regulations (including the DGCA Civil Aviation Requirements). We will help you claim them.
10.2 We are not liable for the insolvency, acts or omissions of any Supplier, but we will pass on any amounts we recover from them.
11. Liability
11.1 To the fullest extent permitted by law, our total liability for any Group Booking is limited to the service fee you paid us for that booking. We are not liable for indirect or consequential losses, for Supplier acts or omissions, or for events beyond our reasonable control (force majeure), including weather, strikes, epidemics, government action and airport or airspace closures.
11.2 Nothing in these Group Terms limits liability that cannot be limited under applicable law, including for fraud, or any non-waivable right under the Consumer Protection Act, 2019.
11.3 We recommend that all travellers buy travel insurance covering cancellation, medical costs, baggage and Supplier failure.
12. Personal data
To make a Group Booking, we process the names, contact details and other details of the booker and travellers, and share them with Suppliers as needed to issue tickets and confirmations. You confirm that you have each traveller's permission to share their details with us. See our Privacy policy.
13. Governing law and complaints
These Group Terms are governed by the laws of India, and section 28 (Governing law and dispute resolution) of our Terms of use applies. For complaints, contact our Grievance Officer, [Grievance Officer full name], at grievance@mynxtrip.com or [+91 XXXXX XXXXX]. We acknowledge complaints within 48 hours and aim to resolve them within one month. General enquiries: hello@mynxtrip.com.
